Managing Class Schedules and Parent Communication

Goal: To help you keep track of your students, talk to their parents, and move kids between classes when their schedules change.

  1. View Your Roster: Inside any class, you can see a list of every student enrolled. You can also click through your different sessions to see past or future attendance.

  2. Send an Email: Click the Send Email button. You can pick specific parents or select everyone. You can write your own email or use a "Template" (like a Welcome message) to save time.

  3. Quick Group Chat: Use the Group Message button to send a fast update to all parents at once—perfect for telling them "The field is ready!"

  4. Keep Private Notes: At the bottom of the page, you can write "Internal Notes" that only your staff can see, or "Public Notes" that parents can see.

  5. Move a Student: If a child needs to change classes (like moving from Basketball to Swim Stars), click the menu next to their name and select Switch to New Class.

  6. Handle Refunds: If someone needs to leave the program, you can select Refund & Remove to handle the money and the roster spot in one click.
