Adding Email Configuration with SMTP

Goal: To connect your professional email into NRICH so the system can send branded emails on your behalf.

🟄 Google (Gmail, Google Workspace, @gmail accounts)

  1. Open Email Settings: In your NRICH dashboard, click Emails, then Settings. Click the blue Add Configuration button.

  2. Basic Info: Give your configuration a name (like "Support Email") and type in the From Email and From Name you want people to see in their inbox.

  3. Enter Server Details: In the SMTP Host box, type smtp.gmail.com. Use Port 587.

  4. Find the Secret Key: * Open a new tab and go to your Gmail.

    • Click the Circle Icon in the top right and select Manage your Google Account.

    • Click Security on the left menu.

    • Click 2-Step Verification (make sure it's turned ON).

    • Scroll to the very bottom and click App passwords.

    • Type "NRICH Email" and click Create.

  5. Copy and Paste Password into NRICH: Copy the 16-character code. Go back to your NRICH tab and paste it into the Password field.

    1. No Spaces: If the provider shows the code like xxxx xxxx xxxx xxxx, don't worry about the spaces. NRICH will usually trim them, but try to paste it as one continuous string if possible.

    1. One-Time Use: These codes are meant to stay inside NRICH. You don't need to memorize them or write them down on a sticky note—once they are verified in the system, you can forget them!

  6. Verify: Make sure the SSL/TLS switch is turned ON, then click Verify. Once it turns green you have completed the configuration.

    1. The "Star" Icon: Once that "Verify" button turns green, don't forget to click the Star icon in NRICH to set that configuration as your Default. If you don't, the system won't know which "engine" to use when it’s time to send an email.

    2. Now you are sending emails directly from NRICH to your clients using your domain.


🟦 Microsoft (Outlook, Hotmail, Office 365)

The Goal: Getting your 16-character code from the Microsoft "Advanced Security" vault.

  1. Sign In: Go to account.microsoft.com and log in.

  2. Security Tab: Click Security in the top navigation bar.

  3. Advanced Options: Click the box that says Advanced security options (you may be asked to verify your identity with a text code here).

  4. Find App Passwords: Scroll down past the "Ways to prove who you are" section until you see App passwords.

  5. Create: Click Create a new app password.

  6. The Key: Microsoft will generate a random string of letters. Copy this immediately and paste it into your NRICH Password field.


🟪 Yahoo & AOL (The "Account Info" Path)

The Goal: These two share the same "engine," so the steps are identical.

  1. Account Info: Click your name/profile icon at the top right of your inbox and select Account Info.

  2. Security Tab: Click Account Security on the left-hand menu.

  3. Generate Password: Scroll down and click Generate app password (usually found at the very bottom).

  4. Label It: Click "Get Started." When asked for the app name, type NRICH.

  5. The Key: Copy the 16-character code that pops up. (Yahoo is nice enough to provide a "Copy" button—use it!).


šŸŽ Apple iCloud (@icloud.com, @me.com)

The Goal: For those running their business from an Apple ID.

  1. Sign In: Go to appleid.apple.com.

  2. Sign-In and Security: Click the Sign-In and Security box on the main dashboard.

  3. App-Specific Passwords: Click the App-Specific Passwords tab.

  4. Generate: Click the "+" icon or "Generate an app-specific password."

  5. Label: Give it the name NRICH.

  6. The Key: Use your Apple ID password to confirm, then copy the 16-character code provided.


🟨 Zoho Mail (Professional Business Mail)

The Goal: Accessing the Zoho "Accounts" portal.

  1. Accounts: Go to accounts.zoho.com.

  2. Security: Click Security on the left sidebar.

  3. App Passwords: Look for the App Passwords section and click it.

  4. Application Name: Click Generate New Password. Type NRICH in the "Application Name" field.

  5. The Key: Click Generate and copy the resulting code.

When you get back to your NRICH Email Settings screen, keep these three things in mind to ensure the "Verify" button turns green on the first try:

Goal: To translate cryptic error codes into simple, actionable fixes.

1. Error 535: Authentication Failed (The #1 Culprit)

  • What it means: Your provider (Google, Microsoft, etc.) rejected your password.

  • The Fix: * The App Password: 99% of the time, this is because you used your regular login password instead of the 16-character App Password.

    • Typos: Ensure there are no extra spaces at the beginning or end of the code when you paste it.

    • Expired Key: If you recently changed your main email password, your App Password was likely deleted by your provider for safety. You must generate a new one.

2. Error 550: Requested Action Not Taken / Relay Denied

  • What it means: The "handshake" happened, but the provider won't let NRICH send the mail.

  • The Fix: * From Name Match: Ensure your "From Email" in NRICH matches the "Username" you used for SMTP. If you log in as [email protected] but try to send as [email protected], some providers (like Outlook) will block it.

    • Verification: Ensure your email domain is fully verified in your host's settings.

3. Error 587 vs. 465: Port Confusion

  • What it means: You’re trying to knock on the wrong "digital door."

  • The Fix: * In 2026, Port 587 is the modern standard for TLS encryption. If 587 fails, try Port 465 (the standard for SSL).

    • SSL/TLS Toggle: If you use Port 587, make sure SSL/TLS Encryption is toggled ON in NRICH.


4. Error 421 / 451: Rate Limits Exceeded

  • What it means: You are sending too much, too fast.

  • The Fix: * Free accounts (like standard @gmail.com) have strict daily limits (usually 500–2,000 emails per day).

    • Check NRICH Settings: Adjust your Rate Limits in the NRICH Email Settings to match your provider’s cap (e.g., 60 emails per minute).

5. "Connection Timed Out" (No Code)

  • What it means: NRICH can't even find your email provider's server.

  • The Fix: * Check the Host: Double-check your SMTP Host address for typos (e.g., smtp.gmail.com vs smtp.google.com).

    • Firewall/VPN: If you are setting this up on a highly restricted office network, your internal firewall might be blocking the connection. Try switching to a standard network.

If you have tried everything and still see an error:

  1. Delete the configuration in NRICH.

  2. Delete the App Password in your Google/Microsoft account.

  3. Wait 2 minutes.

  4. Generate a brand-new App Password and start the NRICH setup from scratch. Sometimes the "digital handshake" just needs a clean slate.
